Grants & Compliance Administrative Specialist (PT)

Position Summary

The Grants & Compliance Administrative Specialist assists with the administration and coordination of Safe Futures’ grants, compliance, and contracting under the direction of the Chief Operating Officer. This position assists with the timely and accurate completion of financial requirements, grant reports and contractual obligations to keep systems organized and meet deadlines.


Responsibilities include, but are not limited to:

Uphold strict confidentiality regarding fiscal, donor and client information.

Assist in the coordination, preparation, and submission of monthly, quarterly, and annual grant reporting, ensure accuracy, timeliness, and adhere to funder requirements.

Assist with the contracting process to ensure timely administrative compliance with state and federal contracts.

Gather data; produce grant-related reports; and implement quality assurance processes.

Working in conjunction with Finance Team, create, generate and compile financial reports from accounting software to support grant submissions and reporting, compliance monitoring, and budget analysis.

Assist in researching grant opportunities, draft funding letters, inquiries, and applications.

Maintain accurate data records of funder relationships, deadlines, compliance requirements, and funding priorities.

Enter grant awards into donor management software and collaborate with fiscal staff on account reconciliations.

Analize data and track statewide and national trends.

Perform administrative support tasks as needed.

Participate in outreach, public relations, fundraising, and agency collaborative activities as required.

Perform other duties as assigned to support the mission and goals of the organization.

 Qualifications:

Bachelor’s degree in a related field or demonstrated years of experience in the field.

  • Minimum 1 year experience working with federal, state and/or foundation grants.

Strong business writing and oral communication skills.

Experience in statistical and data analysis.

Experience with finance, budgets, and reports to ensure compliance with grant and contract requirements.

Strong organizational skills, ability to plan, prioritize, and coordinate multiple projects, with specific attention to detail.

  • Strong computer skills, including proficiency in Microsoft Office, and familiarity with databases.
  • Internet research knowledge and ability to learn multiple platforms for grant and report submissions.

Ability to collaborate effectively with staff, volunteers, coalitions, organizations and community partners.

  • Valid driver’s license and reliable, insured transportation.
  • Ability to become domestic violence certified.
  • Safe Futures is an AA/EOE.
